How to Plan a Successful Welcome Party

As a live illustrator, I get to attend all sorts of events. From wedding showers to receptions, illustrations are such a unique and beloved activity for your guests! And yet, one of my favorite wedding-related events is often the most overlooked when it comes to planning your guests' experience. Yup, I’m talking about the Welcome Party. 

Think about it. This is the first time you’re going to see your guests. So many of your friends are meeting each other for the first time! Those who have traveled from out of town are looking to connect with people they love and feel grounded in the location. Your welcome party sets the tone for your entire celebration, so of course, you want it to be full of joy and laughter. That’s why I want to help you plan a successful, memorable, and truly unique welcome party. 

Our Inspiration: An Incredible Welcome Party in Oxford, Mississippi 

If you’re subscribed to my email list, you may remember me mentioning a wedding weekend I was part of in Oxford, Mississippi. If you’ve never visited Oxford, I highly recommend going in December. This city is known for its Christmas decor, and the bride I worked with leaned into the iconic history and beauty of the city by wearing a stunning red and silver dress for the rehearsal dinner. I had the honor of creating a full illustration from their engagement photos specifically to display at this event, and, if I do say so myself, it was perfect. 

I’ve provided illustrations for many welcome parties and rehearsal dinners, but I always circle back to this one. The couple did an amazing job welcoming their guests to their college town by embracing local traditions that grounded their celebration in a sense of time and place while also incorporating their home city of DC. Instead of just hosting a dinner where everyone could mingle, the couple made their welcome party interactive and exciting. I worked with another artist to ensure everyone received an illustration, making sure they had something tangible to remember the night by! Simple plans like this can help your guests acclimate to one another and create a fun, high-energy atmosphere for the rest of your celebration. 

Welcome Party Ideas for Every Kind of Wedding 

Lean Into Local 

Are you hosting guests from out of town? There’s no better way to welcome guests to your home than by embracing what makes your location special. If you’re based in Austin, Texas, you can’t go wrong with a barbecue! Or if you’re in New England, you’re in the best place for a clam bake. Sometimes, the most memorable welcome parties are the ones that embrace the area. See if any street festival or local celebrations are happening at the same time! Attending a local event can be so much fun—plus, it requires less planning on your end. 

Your rehearsal dinner is your opportunity to lean into a local theme without having your entire wedding feel like your location. For example, are you having a beach wedding, but don’t want the wedding day to feel too beachy? Have a fire show on the beach with limbo the night before! This way, your welcome party is more casual and fun so that the wedding day can be more formal.

Make it a Unique Experience 

Your wedding is the best excuse for going all out. But if you, like most people, love more than one idea or theme, your rehearsal dinner solves the “Which one should I do?” dilemma. Some of my favorite welcome parties are the ones that are wildly different from the wedding. This is your chance to embrace all the sides of your personality and celebrate in all the ways that feel like you

Even if you want to do something simple, you can still create a fun atmosphere for your guests. One of my friends hosted a trivia night, where the winner got to be the first in line for the ice cream bar! Think of the things you and your partner love to do. And then invite your guests to experience that with you! You would be shocked by how much fun your friends and family will have simply by experiencing a slice of your daily life. 

Find a Fun Venue 

If you’re hosting a wedding weekend, it’s usually easier to host everything in one space. But that doesn’t mean you have to. Find a local bar that has trivia or board games! Or rent out your favorite restaurant for a night. Just because you’re getting married at a specific venue doesn’t mean you have to host every event there. 

Drinks for Destination Welcome Parties 

Hosting a destination wedding? Your welcome party is even more important. Your guests have traveled a long way. The welcome party is their chance to relax a little and prepare for the celebrations ahead of them. Imagine drinks around the pool, or catching up at the hotel bar. Guests will appreciate this small gesture of hospitality. 

Making Welcome Parties Memorable Through Guest Experiences 

Even as I write this, I’m re-imagining that welcome party in Oxford. Despite the beautiful city and all the Christmas decorations, what truly made this celebration so memorable was the care and intention the couple poured into it. They prioritized their guest experience over everything, making sure their friends and family could enjoy something unique at every turn. 

That’s why I love illustrating at events like these! Most guests have never been drawn before, and are delighted to have a keepsake.
